HQ Simple is a compliance-driven Employer of Record (EOR) platform that helps businesses determine whether their hires should be classified as 1099 contractors or W-2 employees. Built as a single-tenant system, HQ Simple is designed for precision, transparency, and scalability — empowering HR teams, hiring managers, and independent contractors to collaborate seamlessly throughout the classification and onboarding process. By guiding users through structured workflows and legal logic, HQ Simple takes a complex, risk-heavy process and turns it into an organized, easy-to-follow experience. The platform eliminates the uncertainty that often surrounds worker classification, helping companies stay compliant while contractors enjoy a faster, clearer path to onboarding.

The Challenge

For many companies, correctly classifying workers as independent contractors or employees is a persistent compliance challenge. Misclassification can lead to costly penalties, legal exposure, and reputational damage — yet the manual processes traditionally used to manage classification (emails, spreadsheets, and static PDFs) are prone to errors and inefficiencies. HQ Simple’s leadership recognized this gap and set out to create a digital system that would automate and standardize the decision-making process. However, early versions of the platform lacked the technical infrastructure and user flow logic needed to manage the complexity of multi-role workflows and multi-step compliance evaluations. They needed a partner who could transform their vision into a cohesive, intelligent system capable of handling every nuance — from pre-classification setup to post-onboarding tracking.

Our Solution

Alchemy Apps partnered with HQ Simple to architect, design, and develop a comprehensive legal-compliance platform that integrates role-based experiences, guided forms, and intelligent data structures to streamline every aspect of worker classification and onboarding. Key Solutions Delivered Pre-Classification Configuration HQ Simple staff can define and manage job functions through the sa_functions system, specifying which roles are eligible for 1099 classification. This proactive setup ensures every new engagement starts with compliance guardrails in place. Smart Intake Workflows Hiring Managers begin by selecting a role. If the role qualifies for 1099, they proceed through the 1099 onboarding flow; if not, they’re automatically redirected to the W-2 (EOR) process. This logic-driven workflow reduces missteps and enforces compliance consistency. Dual Questionnaire System Both contractors and hiring managers complete tailored questionnaires — the Independent Contractor Questionnaire and Hiring Manager Questionnaire — giving HQ Simple’s compliance team a complete, unbiased view of each engagement’s legitimacy. Centralized Application Tracking The application data type acts as the operational backbone, tracking progress, status, and compliance milestones for both 1099 and W-2 paths. Role-Based Dashboards Customized dashboards give each user — from Super Admins to Contractors — real-time visibility into their current engagements, pending tasks, and compliance status. Invitation and Profile Linking System When a new email is entered into the system, HQ Simple automatically creates a profile record, even if the invitee hasn’t signed up yet. When they do, their user record links seamlessly to the existing profile — enabling smooth onboarding, status tracking, and historical recordkeeping.
